What exactly is the free audit?

We contact your business the way a new customer would — we call during your busiest hour, submit your own web form, message any channel you have published, and look at your site on a mid-range phone. We check what someone searching for your services locally actually finds. Then we write down what we saw, how long each channel took to respond, and the three fixes with the best return. You get it in writing within five business days. There is no call unless you want one, and no obligation afterwards.

Is the audit really free, and what is the catch?

It is free and the catch is that we hope you hire us. You keep the document either way, including the fixes you could make yourself without us. Some of them are things your current vendor should already have done.

Do we have to sit through a sales call?

Accepted Answer

No. Request the audit, we send it, and you decide whether you want to talk. If you would rather have a call, we will do that instead — but it is not a condition of getting the audit.

How quickly could we start?

Accepted Answer

Usually within two to three weeks of agreeing scope, depending on how many businesses we have in build at the time. If we cannot start when you need to, we will say so rather than holding a slot we do not have.

What do you need from us to quote?

The name of your scheduling or CRM software, your locations and team size, whether you have a site you want to keep, and roughly what happens to an inquiry today. Five minutes of information. Everything else comes from the audit.

What does it cost?

A fixed one-time fee to build and connect the system, then a month-to-month service fee for the parts that keep running — the assistant, the integration and the sending infrastructure. The number depends on your scheduling or CRM software and how many locations and providers you run, so it comes out of the audit rather than off a list. No revenue share, no per-lead pricing, no annual lock-in.

Why a monthly fee?

The automation is a service, not a file. It runs on messaging accounts, an integration with your scheduling or CRM software, and a knowledge base that changes whenever your business does. The monthly covers hosting, monitoring, message costs, keeping the assistant current, and the reporting. The build is quoted once; the monthly covers what runs after it.

Are there costs that are not yours?

Your domain, any paid ad spend, WhatsApp Business conversation charges at platform rates, and any API access fee your scheduling vendor charges. We list them before you sign and pass them through at cost without a markup.

Question 9

How do we cancel?

Accepted Answer

Thirty days' written notice, any time after launch. You keep the site, the domain, the accounts, the integrations and the data. There is no termination fee and no clause that makes leaving expensive.

Question 10

Which scheduling or CRM software do you work with?

Accepted Answer

We integrate with systems that expose a documented API or a supported partner integration, which covers most of the common ones. Some vendors require a partner agreement or a middleware layer, which adds time and cost — the audit establishes which situation you are in before any quote exists. If a system genuinely cannot be integrated, we will tell you, and we will not sell you a booking system that only pretends to write into your schedule.

Will this replace our front desk?

No. It removes voicemail triage, calling down a list by hand, and the after-hours backlog. Your team keeps the work that needs a person: the customer standing in front of them. Front-desk staff usually worry about this in week one, which is exactly why they are in the blueprint session.

Question 12

Our team is not technical. Is that a problem?

Accepted Answer

No. What we need from your team is knowledge of how the business runs, not technical skill. Training is two sessions on the handoff points — when the system escalates, where to look, how to pause it. Everything else runs without anyone logging into anything.

Question 13

Can you work alongside our existing marketing agency?

Accepted Answer

Yes, and it is a common arrangement. They bring people to the site; we make sure something happens when they arrive. We will need to agree who owns which accounts up front so nobody is locked out of their own tools.

We already have a website. Do we have to replace it?

Accepted Answer

Not necessarily. If it is fast, current and mobile-usable, we can add booking, chat and automation to it. The audit will tell you honestly whether it can carry that, and rebuilding is a recommendation rather than a default.

How do you stop it inventing answers?

Accepted Answer

It can only answer from a knowledge base written with you — your prices, hours, team, policies and services. There is no general-knowledge fallback, which is where invented answers come from. Asked something outside that, it says so in a sentence you have approved and offers a human.

Does it give professional advice?

Accepted Answer

Never. Symptoms, pain, medication, post-operative questions and anything phrased as an emergency go straight to a person on your escalation rule. The assistant is not permitted to reassure, triage or advise, and that is not a setting you can turn on.

Do customers know they are talking to software?

Accepted Answer

Yes. It introduces itself as your business's automated assistant and offers a human at any point. Pretending to be staff is a bad idea and, on some channels, against the platform's rules.

What about HIPAA and text message rules?

We are not attorneys and nothing here is legal advice. How we build: minimum necessary information collected, vendors that will sign a Business Associate Agreement where one is required, explicit consent captured and timestamped, opt-outs honoured immediately on every channel, and no marketing to numbers that did not opt in. We expect you to run the setup past your own counsel or compliance advisor before launch, and we will support that review.

Can we turn it off?

One control pauses automated replies on any channel and routes everything to your team. Useful during an outage, a staffing change, or any week you would rather handle it yourselves.

How long does it take?

Eight weeks is typical for a single location, from the blueprint session to launch. The two things that stretch it are waiting on content approvals and scheduling or CRM software that needs vendor involvement to open up.

How much of our time does it take?

Around six to eight hours across two months. Whoever runs the schedule most of all, because they know how it really works. Each team member who does the work, for about half an hour. The owner for the blueprint and the two review rounds.

What if we want to stop after the blueprint?

Accepted Answer

You keep the blueprint. It is written to be handed to any developer. We charge for that phase, so there is no obligation to continue into the build.

What happens after launch?

Monitoring, updates to what the assistant knows, content, and a written monthly report that includes a section on what went wrong. A quarterly review looks at whether each part is still paying for itself; if something is not, we will suggest cutting it before you have to ask.

How much are we committing to up front?

Less than most agencies ask for. The build is a fixed price for a fixed scope, everything afterwards is month to month, you own every account and all the data from day one, and thirty days' notice is the entire cost of leaving. You will also not be one of forty accounts — we take on a limited number of businesses at a time, on purpose.
